If a rep makes a special engineering request during the process of creating a quote or order, the request will need to be reviewed by the engineering department prior to the order begin submitted to ClimateMaster.
This section is intended for the ClimateMaster Engineering department as representatives will not normally have permission to access this area of the Solution Center software.
When a representative submits a quote or order to engineering by following the process outlined in the section Preparing a Quote section an e-mail will be sent to the engineering department to let them know that a special engineering request has been made.
In order to review, price and approve the representative’s request a user with the User Permission Level of Application Engineer will need to login to the system and locate the quote or order.
Once the Application Engineer logs on to the Solution Center quotes and orders awaiting review may be located by selecting Application Engineer from the Dashboards menu. A list of all of the quotes and orders awaiting the engineering department’s review will be shown as in the following figure.
Click on the magnifying glass next to the quote or order to view the details of the special request.
The quote or order details will be displayed. Most of the fields on this form are read-only and you will not be able to modify them.
Special Engineering Request Sections
Starting with Solution Center version 3.3.62, SERs (Special Engineering Requests) may be located in two different sections of a quote or order. SERs may be tied to a specific line item, as they have always been pre version 3.3.62, or may be associated with a quote or order.
Line Item Specific SERs
SERs may be assigned to individual or groups of line items. To view or edit SERs associated with a line item, scroll down to the Line Items & Accessories section of the quote or order as shown in the following figure
SERs associated with the line item will be displayed in the column labeled Special Engineering Request and may have additional information associated with them such as Status, SER Total and Setup Fee. For more information on SERs please view the help topic entitled Special Engineering Requests.
Application Engineers may add SERs to an individual or group of line items contained on a quote or order by clicking the balloon icon in the line item grid. When this icon is clicked a modal pop up is displayed that allows the application engineer to enter Reference, Description, Pricing, Setup Fee and Status information related to the SER (see the figure below)
Once the information related to the SER has been added the Save button is clicked, the page will automatically refresh and the SER will be displayed in the grid as shown in the figure below.
Now that the SER has been added to the line item the page will refresh automatically and the total of the SER will be added to the line item total. If an SER is added to a consolidated line item the number of SERs will be multiplied times the quantity of items in the line item group. In this example, there are three line items in the group so the $100 line item is multiplied times 3 and the setup fee of $10.00 is multiplied times 3 and the result of $330.00 is added to the line item total for a grand total of $12,054.00. The Pricing Summary section is also updated and reflects the total of all line item SERs and quote or order SERs.
To make modifications to the SER(s) for a line item click the balloon icon next to the line item and make any required modifications to the SER. When complete, click the Save button to update the line item SER section and the Pricing Summary section.
If you wish to add or modify an SER for an individual line item click the Show Details link in the Line Items & Accessories section prior to adding or editing the SER as shown in the following figure.
Doing so makes the change for the one specific line item instead of the consolidated line item group.
Quote or Order Specific SERs
As mentioned above, starting with the Solution Center version 3.3.62, SERs may be added to a quote or order regardless of the line items. This is useful is the request is not specific to an individual line item but is instead a general request made for the quote or order.
To view, modify and eventually approve any Special Engineering Requests scroll down to the bottom of the quote or order page until the SER section comes into view. See the following figure.
From this grid the engineer reviewing the requests can edit, delete and change the status of any of the requests made by the representative. New requests may also be added by the application engineer by clicking the Add New button.
To delete a request click the delete icon. You will be prompted to confirm the deletion of the item.
To delete the item from the quote or order click . To cancel the deletion and return to the quote or order click
The Special Engineering Request grid will automatically refresh and the Pricing Summary section will update.
To modify the request click the edit icon next to the item that you wish to modify. The Edit Special Request dialog box will be displayed.
From this dialog box you will be able to make modifications to the request as well as specify the date that the item was reviewed and select a status for the request.
The following is a list of the required fields for the Edit Special Request dialog box:
Description – A textual description of the engineering request (maximum of 255 characters)
Quantity – An integer value representing the number of items in the request
Price Each – A floating point value that represents the cost of each item in the request. This value will be multiplied by the quantity to calculate the total cost of the request
Date Reviewed – The date that the request was reviewed by the engineering department. Click the calendar control icon to select a date from a pop-up calendar or enter the date in the format of mm/dd/yyyy
Status – The status of the request. Statuses may be one of the following:
oUnder Review
oRejected
oApproved
oNeed More Information
oReopened Order (Not normally selected by the user. This is reserved for the system when a representative reopens an already submitted order)
Once you have reviewed the special request ensure that all the required fields have been filled in and click the button. Any changes that you make in pricing will automatically be reflected in the Pricing Summary section of the quote or order.
When you have reviewed all the Special Engineering Requests submitted for the quote or order and wish to send the items back to the representative for further processing click the button.
You will be prompted to send the quote or order back to the rep for review. See figure below.
Click to send the quote or order back to the rep or click to cancel the operation and to return to the page.
If you click you will be presented with a dialog box in which you may optionally enter comments regarding the special requests.
Click the button to send the quote or order back to the representative. By clicking the system will send an e-mail to the representative to let them know that their special requests have been reviewed and the quote or order is ready for further processing.
Click the button to return to the approval worksheet without sending the item back to the representative.
Note! The representative will not be able to do any additional processing with the quote or order until it is sent back to them from the engineering department.
